the types of data we collect

We collect the following information

Names, Contact details such as telephone number and email, Address, personal details and information regarding medical details (allergies, medication, medical conditions) we require this information to ensure we provide a safe service. We also record and make notes of past and future appointments you have had/will have with us to improve our services.

We will ask on every visit if anything has changed or if you wish to opt out or withdraw any data we hold on you.

How we get personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

You have filled in a client record card in our salon or an online record card.
You have inputted your details on one of our online forms
You have telephoned us or sent us a text/email to make a booking

We use the information that you have given us to

Ensure we provide a safe treatment (medical & allergy data)
Ensure you eligible to proceed with the service (DOB)
So, we can send you appointment confirmations and reminders as well as contact you regarding reviews after an appointment (contact details)
Email & text marketing (opt-in or opt-out) (email & telephone)
To send products or send out patch tests (address)

We will not share or sell your data. The Data we hold is held on our booking system Ovatu that’s password protected

How we store your personal data

Your information is securely stored at our salon – 166 Sharrow lane Sheffield, S11 8AR.

Paper forms (Client record cards) are kept in a secure metal filing cabinet that’s locked at all times and only accessible to trusted staff.

Electronic – We store your details as well as a record of all appointment on our booking system Ovatu that is fully GDPR compliant

Our ‘Clear desk policy’ We never leave client personal information files/paperwork (record cards) unattended, nor do we keep loose pieces of paper with sensitive information on.

We keep your data for as long as we genuinely need it (whilst you’re a client) We will then dispose of your information if you are no longer a client of ours (no visit for over 1 year) or if you wish for us to delete your data. We will renew consent with you every 2 years.

Your rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
